Creating a New Patient Folder Using Quick Patient

For pharmacies that have scanner at their intake workstation, patient information can be entered quickly and accurately using Quick Patient by scanning a provincial ID card (including those from out of province) and having all information related to patient creation on one window.

It is recommended that the patient's health card and driver's license are scanned when using Quick Patient as both provincial ID's generate different information.

In Ontario, you must obtain the patient's consent before obtaining their provincial ID card.
Inform the patient: "I will be creating a profile in our system to fill your prescription and will need some personal information from you. I can do this accurately and quickly by scanning you health card and driver's license, but this means that your health card number will be stores in our system. Is that okay? I can also collect this personal information manually.
If the patient agrees, proceed to create a new Patient Folder using Quick Patient.

To create a new Patient Folder using Quick Patient:

  1. Select the Patient navigator button. The Patient Search window appears.

  2. Select Quick Patient.

    The Barcode Scan window appears.

  3. Scan the barcode on their ID with the hand scanner.

    • It is recommended that the patient's health card and driver's license are scanned when using Quick Patient as both provincial ID's generate different information. For example, city information is not contained within a provincial health card barcode but can be found on a driver's license. If only a health card is scanned in the Quick Patient window, the city defaults to your pharmacy's city as set in Pharmacy Preferences.

    • If multiple barcodes are scanned and inconsistencies are detected in the First or Last Name, Birth Date, or PHN, a prompt appears listing the conflicted fields. These conflicting fields will be left blank for manual entry in the Quick Patient window.

  4. Select OK. The Quick Patient window opens with information populated based on the provincial ID scanned.

    For a provincial health card, this includes the First and Last Name, PHN, and Birth Date. For a provincial driver's license, this includes the First and Last Name, Birth Date, Address Line 1, City, and Postal Code. Please note, there is no national standard for provincial ID barcodes; the format may vary and not all aforementioned fields may auto-populate.

  5. Enter the following information, if not already captured by the identification scan:

    • Patient demographic information

    • Clinical information

    • 3rd Party information

    • Consent

    • Pickup Reminder

  6. From the Quick Patient dropdown, select one of the options depending on the situation.

    • Quick Patient & Rx - once the Patient Folder is saved, New Rx window opens.

    • Quick Patient & COVID - once the Patient Folder is saved, the COVID-19 Injection window opens.

    • Quick Patient & Flu - once the Patient Folder is saved, the Flu Injection window opens.

    • Quick Patient - once the Patient Folder is saved, no further windows are opened.
