Ordering Using the Re-Order Point and Packs for a Product
If you are using the ReOrder Pt/Pk method for a monitored product, you will be required to set the Re-Order Point and Re-Order # Packs. These settings determine when a product is reordered and how much is reordered each time.
How Reordering Works with Re-Order Point and Re-Order # Packs
The Re-Order Point is the Actual on Hand quantity that triggers an automatic reorder. When the Actual on Hand quantity reaches or falls below this value, Propel Rx adds products to the Order Pad to cover any outstanding Owe Balances and bring the On Hand quantity above the Re-Order Point.
Order Quantity = Re-Order Point - (On Hand + existing On Order Qty - Owe Amount)
When a prescription for a monitored product is cancelled, its On Hand increases accordingly. If the product is on the Order Pad, and cancelling the prescription brings the On Hand above the Re-Order Point, the product is automatically removed from the Order Pad.
The Re-Order # Packs is the minimum number of packs that are reordered each time. All automatic reorders are placed in multiples of this number.
For example:
-
You have 240 units of a puffer in Propel Rx.
-
The pack size of the puffer is 60.
-
The Re-Order Point is 179.
-
The Re-Order # Packs is 1.
If you fill a prescription for 120 units:
-
The Actual on Hand drops to 120 units.
-
This triggers an automatic reorder.
-
Propel Rx adds 60 units (1 pack) to the Order Pad to bring the On Hand quantity above the Re-Order Point of 179.
Getting Recommended Reorder Values
To receive suggested Re-Order Points and Re-Order # Packs values based on your dispensing history, generate the Re-order Analysis Report.
If you want Propel Rx to automatically calculate and adjust reorder values based on usage patterns and forecasted demand, consider using Guided Reordering.
Setting the Reorder Values
To set the Re-Order Point and Re-Order # Packs for a product:
-
Open the Drug Folder.
-
In the Inventory tab, under the Packs Available section, select the applicable pack size.
-
Ensure the Monitor checkbox is selected.
-
Under the ReOrder Method section, select ReOrder Pt/Pk.
-
Enter your desired values in the Re-Order Point and Re-Order # Packs fields.
Set your Re-order Point to be 1 less than the On Hand quantity you always wish to have in your inventory. For example, if you want 3 packs of a puffer with pack size of 60 on your shelves at all times, set the Re-Order Point to 60 x 3 - 1 = 179.
-
Select Save.
Sample Scenarios to Consider
If a medication is expensive and has low turnover, you may wish to order it only when your pharmacy receives a prescription for it. In this case, set the Re-Order Point to -1. The Re-Order # Packs will default to 1 and be disabled. This means the product will be added to the Order Pad only when a prescription has been processed for it.
Birth control is an example of a medication that is frequently dispensed in multiples of 3 packs to fulfill a 3-month supply. In these cases, you can set the Re-Order # Packs to 3 so your pharmacy always orders in multiples of 3 to avoid partial Owe Balances.
For example:
-
You have 168 tablets of a birth control in Propel Rx.
-
The pack size for the birth control is 28.
-
The Re-Order Point is set to 111.
-
The Re-Order # Packs is 3.
If you fill 2 prescriptions for 84 units each:
-
The Actual On Hand drops to 0.
-
This triggers an automatic reorder.
-
Although 4 packs would satisfy the Re-Order Point, Propel Rx orders in multiples of 3 until the On Hand is above the Re-Order Point. As a result, 6 packs are reordered.
